Planning your big day can be exciting and at times stressful. Ensuring you have all the necessary items for your ceremony or reception is a key step in the wedding planning process. Use this step-by-step guide to help with the entire rental process for your wedding.
1.Define your Wedding Style.
From black-tie to informal, there are countless wedding styles to choose from. If you are going the route of a smaller casual wedding then the rental process can be easier, whereas more complex styles may be a bigger task and require some external input.
Our favourite wedding styles include:
Rustic Farmhouse
Classic Elegance
Winter Wonderland
Modern Minimalist
2.Gather Important Information.
It is nearly impossible to start choosing what items you will need for your wedding without some basic information about your event. Make sure you have some answers to some of the following questions to help the process:
How many people will be attending? This will be important to determine the quantity of each item needed as well as your cost.
What is your rental budget?
What is the size of your venue? Many items require large spaces, you do not want to have a cramped feeling in your venue.
Is the venue indoors/outdoors or a mixture? This will help determine possible coverage you may need in the form of tenting.
Is the catering plated, or buffet style? This will help determine what dishes you will need to rent, as well as the catering equipment that is required.
Does the venue provide some items like chairs/tables or is it bare? This will help narrow down your final list of items.
3.Choose your rental items.
Now comes the important part: choosing what to rent.
I always like to start with the core items that will be needed at any wedding, and then move up towards the optional or niche items later.
You can also choose to look for inspiration on your rental company’s website. We have many collections to choose from that can help you find the items to fit your style here: Insert links to collections.
First, you will have to choose your seating area. Use this quick guide to help choose your chair:
White Resin Padded Folding Chair: Timeless minimal look that fits most wedding themes and is cost-efficient. A step up from a basic plastic folding chair.
Wooden Padded Folding Chair: A cousin to the classic White Resin chair, this will fit into the rustic style of a wedding.
Gold Chivari Chair: Portrays an elegant and sophisticated style. Perfect for black-tie weddings.
Vineyard chair: A summer classic for outdoor weddings.
Alloy folding chairs: Basic chairs that is perfect for short ceremonies outdoors.
When it comes to selecting your wedding tables, each provides the basis for how dinner service will look. Keep in mind that most tables will be covered by linen, so the shape is more important than the material:
Wooden Round Tables: The most popular choice for tables. Sturdy and comes in many sizes.
Rectangular Tables: Generally used for communal style dining. These can pair with any casual wedding style you choose
Harvest Tables: Stand-alone tables that contribute to the look of your rustic or farmhouse wedding.
Cocktail Tables: Used for standing areas around the venue. Used before and after the dinner service.
In addition to your tables, you will likely want linens to cover them and add to the overall appearance of your wedding. You should choose your desired colour palette and inform your rental company of your table sizing and they will give you the best option. Additionally, you will want to add napkins and optionally chair covers.
Now that you have your base it is time to add some flair. Consider the following items to complete your wedding:
Pipe and Drape: This is used for dividing space as well as hiding unwanted sights. With a variety of colours, you can match it to perfectly fit your style.
Tenting: If you are having any part of your wedding outside you certainly will want to consider tenting. In the summer guests will want to have the option of shade or sunlight, and in the fall/winter/spring volatile weather can call for tenting. Consider large-form tenting for entirely outdoor ceremonies, and canopy or marquee tenting for hybrid weddings.
Tableware: Most rental companies will have many options for dishware and glassware. It is important to speak to your caterer as they will have the best idea of quantities you will need, and then just browse the selection and make your choice.
Décor: Browse your rental company’s décor section to find what best suits your style. Using collections of items can be a great starting point.
